General rules

Every accepted paper in the conference must have one author register at the full (non-student) rate, by the early registration deadline i.e. before November 15th, 2015. In case of multiple accepted papers, we require that a distinct full registration per paper as far as possible. Papers without registered author(s) will be withdrawn from the program and the proceedings.

The registration fees include for package and conference only :

  • Conference attendance
  • USB Key containing preliminary versions of the proceedings
  • Lunches and breaks
  • A social event (guided visit of the Mont Saint Michel abbey and conference dinner).


All the above indicated rates include a VAT of 20% at current rate at the day of printing.

Student status

A copy of your valid student ID card is necessary to confirm the student status. Student must have been a student at a recognized university at OPODIS 2015 submission deadline to receive discounted rate.
A valid student ID-card has to be sent by mail to with the following subject « Student ID « +name of the attendee. In absence of a valid student ID card, the full rate will be charged and will have to be paid at the registration desk on site.

Gala dinner and additional gala dinner

If the registration form and full payment are received no later than the regular registration deadline, a gala dinner is included in the registration fee. If the registration form and/or full payment are received after the regular registration deadline, the conference organizers cannot guarantee an entrance to the social event.
It is possible to buy one additional ticket for the social event at the unit cost of 80€, subject to availability, following a first-come first-served policy.

Cancellation policy for individual registration & reservations

All cancellations must be notified in writing to with the following subject « Cancellation Request « +name of the attendee. Cancellation might be granted according to the following conditions :

  • During the early phase (up to November 15th), registrations are fully refund
  • During the regular phase (from November 16th to November 30th), a 50% cancellation fee will be withheld for administrative fee,
  • During the late phase, (after December 1st) no refund will be possible.

In case of granted cancellation, reimbursement will be processed AFTER the conference.
If unable to attend, a colleague may attend in your place. Please send written instructions for this.
Credit will not be given for unattended events or early termination of attendance.

Cancellation of the conference

In the event that the conference cannot be held or is postponed due to events beyond the control of the conference organizers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the conference organizers, the conference organizers cannot be held liable by delegates for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, costs for additional orders, financial losses, etc.
Under these circumstances, the conference organizers reserve the right to either retain the entire registration fee and to credit it for a future conference, or to reimburse the delegate after deducting costs already incurred for the organization of the conference and which could not be recovered from third parties.

Privacy Policy / Legislation

By registering for the conference, relevant details will be incorporated into a participant list for the benefit of all delegates. Normally this information would be: name, surname, institution, country and email address. These details may also be available to parties directly related to the Conference including the venues and accommodation providers. We may use these details to inform current participants of Conference updates or future conferences via email. Participants are responsible for advising us if they do not wish to have their email addresses included in the conference participant list or distribution list for future events.
